Privacy Policy

Effective Date: October 18, 2026

TopRoofContractors.com (“Top Roof Contractors,” “TRC,” “we,” “us,” or “our”) is owned and operated by Choice Roof Contractor Group, LLC.

This Privacy Policy explains how we collect, use, disclose, and protect information when you visit TopRoofContractors.com, request roofing assistance, apply for or participate in membership, communicate with us, or use our available website forms, AI-powered tools, telephone, email, or text messaging services. It also describes information processed about contractor owners, principals, representatives, and references in connection with membership applications and screening.

1. Information We Collect

Contact and project information. We may collect your name, business or organization name, email address, telephone number, property or project address, city, state, ZIP code, preferred contact method, and information about your roofing needs. This may include building type, roof type, project descriptions, and other information you voluntarily provide.

Contractor applications and membership information. We may collect business and trade names, business addresses, ownership and principal information, contact details, commercial roofing experience, training and certifications, licensing information, insurance certificates and endorsements, safety plans, customer references, application responses, agreements, and membership status. We may also maintain membership billing and transaction records, communications, approvals, and updates to qualifications.

Identity and screening information. Depending on the screening requested and applicable law, information processed through the screening process may include an owner’s or principal’s name, date of birth, address history, Social Security number or other identifying information, identity-verification results, criminal records, civil judgments, liens, bankruptcy information, licensing and credential information, insurance documentation, reference responses, and OSHA or other relevant regulatory records. We may receive screening reports, results, explanations, and corrections, and maintain records of required disclosures, authorizations, and membership decisions.

Some identifying information may be provided directly to a screening provider through its designated process. Depending on that process, we may receive a report or verification result without receiving every underlying identifier submitted to the provider. We do not obtain every type of report offered by a screening provider merely because we use that provider.

AI chat and automated conversations. If you use an available chatbot, voice assistant, or other automated tool, we may collect your messages, questions, conversation history, generated responses, feedback, and contact or project details you provide.

Telephone communications. When you call us, we may collect your telephone number, call date and duration, and information you provide. If recording, transcription, or AI-assisted call processing is enabled, we may also process recordings, transcripts, and call summaries. We provide any notice and obtain any consent required by applicable law.

Text messages and uploaded content. If you communicate with us by SMS or MMS, or submit photos or files through an available feature, we may collect your mobile number, message content, attachments, conversation history, and messaging preferences or consent records.

Website and device information. We may automatically collect your IP address, browser and device type, operating system, referring website, pages visited, approximate location, visit dates and times, website interactions, and cookie or similar identifiers.

Sources of application and screening information. We may obtain information from the applicant, the individuals being screened, authorized business representatives, customer references, OneVeris or other screening and verification providers used for the application, public records, courts, licensing and regulatory authorities, training or certification organizations, and insurance representatives. The particular sources depend on the application, services ordered, available records, and applicable law.

2. How We Use Information

We may use information to:

  • Respond to questions and requests.
  • Understand roofing needs and evaluate project inquiries.
  • Connect people requesting roofing assistance with independent roofing contractors or appropriate industry resources.
  • Process contractor applications, verify qualifications, evaluate membership eligibility, and administer membership, as described in Section 4.
  • Provide AI-assisted conversations and support.
  • Send requested resources, summaries, and follow-up communications.
  • Review submitted photos and project details.
  • Operate, maintain, and improve our website and communications.
  • Understand website usage and measure marketing performance.
  • Maintain communication histories and consent records.
  • Prevent fraud, misuse, and security incidents.
  • Comply with legal obligations and protect our rights.

Where permitted by law and consistent with your communication preferences, we may also send information about our services or roofing resources. You may opt out of promotional communications as described below.

We may use aggregated or de-identified information for analysis and service improvement. Sensitive identity information and screening reports are handled for the application, membership, security, recordkeeping, and legal purposes described in Section 4, rather than as ordinary promotional content.

3. Contractor Referrals and Information Sharing

If you ask us to help you find a roofing contractor or obtain assistance with a roofing project, we may share relevant contact and project information with independent roofing contractors or other appropriate industry connections so they can evaluate and respond to your request.

Information shared may include your name, preferred contact details, project location, description of the work, and relevant photos or files you submit. Depending on your request, appropriate industry connections may include manufacturers, suppliers, or other roofing resources.

Contractors and other recipients operate independently and are responsible for their own services and privacy practices. Their use of information they receive is subject to applicable law and their own privacy policies.

Your consent to receive text messages from Top Roof Contractors does not constitute consent to receive marketing text messages from an independent contractor or another business. SMS consent records are not transferred to contractors for their own marketing.

4. Contractor Applications, Screening, and OneVeris

We currently use OneVeris to support background screening and related verification during initial TRC enrollment. OneVeris provides the screening services ordered for the application. TRC remains responsible for its membership acceptance decision and any enrollment checks it performs separately.

We use application and screening information to verify identity and qualifications, evaluate eligibility, obtain references, assess applicable membership requirements, communicate about the application, document the review and decision, administer the membership relationship, address reported inaccuracies or membership concerns, prevent fraud, and comply with applicable legal and recordkeeping requirements.

We may provide necessary applicant information and authorizations to OneVeris and receive reports or results in return. OneVeris may obtain information from relevant records and verification sources as part of the services ordered. Its handling of information is also subject to its applicable privacy notices and legal obligations. Use of OneVeris does not mean that we order all services it offers.

TRC’s additional screening is performed at initial enrollment. We do not routinely repeat background screening at renewal or before every referral, and we do not continuously monitor members’ records. We may retain the initial results and receive updated information from members, references, authorities, or other sources when administering membership or reviewing a reported concern. Retention of a screening result does not mean the contractor has been screened again.

TRC membership includes Choice Roof Contractors membership. Both programs are operated by Choice Roof Contractor Group, LLC. Relevant application information, qualification records, and membership status may be used within the Company to administer those memberships. CRC membership alone does not mean the contractor completed TRC screening.

Access to sensitive screening information is limited to personnel and service providers with a legitimate need for the application, membership administration, security, or legal purposes described here. Membership status and approved business-profile information may be used in authorized listings or promotional materials; this does not make an applicant’s Social Security number, date of birth, private reference responses, or screening reports public. We do not publish those sensitive records merely because an applicant submits them or becomes a member.

Where required, separate disclosures, authorizations, notices, or other procedures apply to screening and decisions based on screening information. This Privacy Policy, use of the Website, or acceptance of website terms does not replace a separately required screening authorization or waive applicable rights.

You may contact us to request correction of application information or to raise a concern about information used in a membership decision. If you believe a consumer report prepared by OneVeris contains inaccurate or incomplete information, you may also use OneVeris’s report-dispute process. Applicable rights to notices, report access, correction, and disputes remain available under governing law and any separate screening disclosures.

Please provide sensitive identifiers only through the designated screening process. Do not send Social Security numbers or similar information through general website forms, chatbots, or ordinary text messages.

5. AI, OpenAI, and Automated Tools

Where available, we may use artificial intelligence and automated technology to answer questions, collect project details, review submitted images, summarize conversations, and assist with follow-up. Voice, image-review, transcription, and other available functions may process submitted information through third-party technology providers.

Our website chatbot uses OpenAI technology. Messages and other information you submit, including contact or project details and files submitted through supported features, are transmitted to OpenAI and other providers supporting the chatbot to generate responses and operate the service. Conversation history and technical context may also be processed to maintain the interaction.

We and the providers supporting the chatbot may retain and review conversations to respond to inquiries, provide follow-up, troubleshoot problems, maintain security, and administer the service, subject to applicable agreements and law. Retention depends on the services and features involved. Learn more about OpenAI’s API data controls.

Please do not submit passwords, full payment card details, government identification numbers, sensitive health information, or confidential information you are not authorized to share through the chatbot. You may contact us by email or telephone instead of using the website chatbot; those communications remain subject to the other provisions of this policy.

AI-generated responses may be incomplete or inaccurate. A chatbot response does not modify this Privacy Policy, provide a separately required consent, or establish a promise about how personal information is handled.

AI assistance does not replace an onsite inspection, professional roofing assessment, engineering review, or manufacturer determination. Use the designated secure screening process for sensitive identifiers required for an application. The application and screening restrictions in Section 4 continue to apply; this AI disclosure does not expand the permitted uses of screening reports or replace required authorizations.

6. SMS and MMS Communications

If you opt in to receive text messages from Top Roof Contractors, we may send messages related to your inquiry or membership relationship, such as responses to questions, project or application follow-up, membership updates, requests for additional details, requested resources, conversation summaries, and information about photos you submit.

Message frequency varies. Message and data rates may apply. Reply STOP to opt out or HELP for assistance. Consent to receive text messages is not a condition of purchasing goods or services.

After you opt out, we may send a nonpromotional confirmation message. You may also contact us using the details below for help with messaging preferences or to communicate an opt-out request. We honor other reasonable methods of withdrawing consent as required by law.

We do not sell or share mobile numbers, SMS opt-in information, or messaging consent with third parties or affiliates for their own marketing or promotional purposes.

We may disclose information to service providers that support our messaging services, such as telecommunications and messaging platform providers, as necessary to deliver and operate those services.

If you request a contractor referral, we may provide your preferred contact number to help fulfill that request, subject to the limitations above. This does not authorize unrelated promotional messages.

7. Cookies, Google Analytics, and Meta Pixel

We use cookies, pixels, local storage, and similar technologies to operate the website, maintain sessions, remember preferences, understand website activity, and measure marketing performance. Some information can be transmitted when a page or embedded service loads, even if no cookie is stored.

Privacy Choices and Opt-Out Controls

The Opt out of advertising button turns off advertising tracking while leaving your current analytics choice unchanged. If you have not previously turned analytics off, Google Analytics remains enabled. To change analytics separately, open , adjust the Analytics switch, and select Save choices. You can also select Turn all tracking off in Settings to disable both categories. Previously saved choices are preserved. Our Global Privacy Control handling continues to disable both analytics and advertising.

Our website uses an opt-out approach to optional analytics and advertising tracking. These technologies, including Meta Pixel and Google Analytics where used, may begin operating when you visit, before you make a choice, unless your browser communicates Global Privacy Control or we have a saved preference turning that category off. Continued browsing is not treated as affirmative consent.

Use the control available on our website to turn off optional analytics, advertising tracking, or both. Turning off advertising tracking opts you out of this website’s browser-based disclosures through Meta Pixel that may qualify as a sale, sharing, or targeted advertising. Necessary technologies used to operate the site and remember your preferences remain available.

We check saved preferences before starting optional tracking. When your browser sends Global Privacy Control (GPC), our website disables both optional analytics and advertising tracking, even if you previously enabled them. These categories cannot be enabled through our controls while the signal remains active.

Your choices are stored in a first-party preference cookie for up to 182 days and apply to this website in the browser you are using. Choices do not automatically carry across our other websites, devices, or browsers. Clearing cookies, using another browser, or expiration of the preference cookie may require you to make your choice again. We also use local storage to notify other open tabs on the same website when your choice changes.

Turning off tracking that is already active reloads the page to stop the loaded tracking code; save any unfinished form first. An opt-out applies going forward and does not recall information already sent. We attempt to remove the relevant analytics and advertising cookies we can access, but cannot remove cookies held on another provider’s domain. You can also manage cookies through your browser and use Google and Meta’s privacy controls.

These website controls do not unsubscribe you from email or text messages, delete information previously collected, or prevent us from processing information you submit through forms, chatbots, or other services you use. For other privacy requests or help if the controls do not work, contact us using the information below.

Google Analytics

We use Google Analytics to understand website usage. Google may receive information about pages visited, interactions, referral sources, browser and device characteristics, approximate location, and cookie or similar identifiers.

Learn more at How Google uses information from sites or apps that use its services. Google also offers a Google Analytics opt-out browser add-on.

Meta Pixel

We use Meta Pixel, also called the Facebook Pixel, on our website to understand visits and interactions and measure advertising performance. Depending on the features and settings used, it may also support audience creation, retargeting, and personalized advertising.

Meta may receive information such as your IP address, browser and device characteristics, pages visited, referring pages, cookie or similar identifiers, and interactions with the website or advertisements. Meta may associate this information with information it already holds about you. Its handling of information is subject to Meta’s Privacy Policy and applicable agreements and law.

Advertising Disclosures

We do not sell personal information for money. However, disclosures through advertising technologies may qualify as a “sale,” “sharing,” or processing for targeted advertising under applicable state privacy laws, even when no money changes hands. Applicable rights depend on the law and whether it covers our activities. See the privacy choices below to submit an opt-out request.

These advertising disclosures do not override the restrictions in this policy on sharing mobile numbers, SMS opt-in information, or messaging consent for another business’s own marketing or promotional purposes.

8. Other Disclosures of Information

In addition to the contractor referrals and screening activities described above, we may disclose information to:

Service providers. Companies that support website hosting, cloud storage, email, telecommunications, messaging, AI tools, analytics, cybersecurity, customer relationship management, payment processing, and other business operations. Screening and verification providers, including OneVeris, may process information for the purposes described in Section 4.

Analytics and advertising providers. Google, Meta, and other relevant technology providers may receive website information as described in Section 7. OpenAI and providers supporting the chatbot are described in Section 5. Their processing is subject to applicable agreements and law.

Verification contacts. References, licensing or regulatory authorities, training or certification organizations, and insurance representatives may receive the information reasonably necessary to verify application details or respond to an authorized inquiry. We do not provide an applicant’s full screening report to a customer reference merely to request a reference.

Legal and safety recipients. Authorities, advisers, or other parties when reasonably necessary to comply with law or legal process, investigate fraud or misuse, protect rights or property, or protect people’s safety.

Parties to a business transaction. Information may be disclosed or transferred in connection with a merger, acquisition, financing, restructuring, or sale of all or part of our business, subject to applicable confidentiality and legal requirements.

Other recipients at your direction. We may share information when you request or authorize us to do so.

Disclosures of screening reports and sensitive identifiers remain subject to applicable legal restrictions, authorizations, and the purposes described in Section 4. The SMS restrictions in Section 6 continue to apply to messaging information.

9. Data Retention

We retain personal information for as long as reasonably necessary for the purposes described in this policy.

Retention periods depend on the nature of the information, the status of your inquiry or application, ongoing service or membership relationships, security needs, and applicable legal, accounting, and recordkeeping requirements.

Application materials, screening results, authorizations, and decision records may be retained to document the initial review, administer membership, address disputes or corrections, and meet applicable obligations. We do not retain sensitive identifying information longer than reasonably necessary for its applicable purpose or legal requirements. OneVeris may have separate retention obligations for information it maintains.

10. Data Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information, including controls intended to limit access to sensitive application and screening information.

However, no website, electronic transmission, telecommunications system, or storage platform can be guaranteed to be completely secure.

11. Your Choices and Privacy Rights

You may contact us to request access to, correction of, or deletion of your personal information.

Depending on where you live and whether applicable privacy laws cover our activities, you may also have rights to:

  • Obtain a portable copy of certain personal information.
  • Opt out of a sale of personal information, qualifying sharing, or targeted advertising, if applicable.
  • Limit certain uses of sensitive personal information, if applicable.
  • Appeal a decision regarding a privacy request.
  • Exercise applicable privacy rights without unlawful discrimination.

Privacy laws may define “sale” or “sharing” more broadly than an exchange of information for money. Whether a particular disclosure qualifies depends on the arrangement and applicable law.

To submit a request or appeal, contact us using the information below. We may need to verify your identity and, where applicable, the authority of someone acting on your behalf for requests requiring verification. We do not require identity verification for an opt-out request where prohibited by law. Some information may be retained where permitted or required by law.

To turn off website analytics or advertising tracking, use . We also honor Global Privacy Control as described above. For requests concerning information or processing beyond these browser controls, contact us using the details below. We handle applicable privacy requests as required by law.

Screening-related rights and OneVeris’s report-dispute process are also described in Section 4. A privacy request to us and a dispute about a report maintained by OneVeris may involve different processes; you may contact both organizations as appropriate. We do not require you to waive applicable screening rights as a condition of submitting a request to us.

You can unsubscribe from promotional emails using the unsubscribe link provided in those emails. You may still receive responses to your inquiries or other necessary nonpromotional communications.

To stop text messages, reply STOP or contact us.

12. Children’s Privacy

Our website and services are intended for adults and are not directed to children under 13.

We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, please contact us so we can investigate and take appropriate action.

13. Third-Party Websites and Services

Our website may link to websites or services operated by contractors, manufacturers, suppliers, screening providers, social networks, or other third parties.

This Privacy Policy does not govern those third parties’ independent privacy practices. Please review their privacy policies and any applicable screening notices before providing information to them.

14. Changes to This Policy

We may update this Privacy Policy as our services, technologies, or legal obligations change. We will post the updated policy on this page and revise the effective date.

When required by applicable law, we will provide additional notice or obtain consent for material changes. Posting an updated policy does not by itself provide any separately required authorization to obtain or use a screening report.
